Privacy Notice: Delivery Details for an Oddsphere Business Contact, Partner or Client
The following notice relates to the processing of personal data by Oddsphere Ltd when we send letters or parcels directly to individual recipients such as business contacts. It does not relate to order shipping, our clients’ e-commerce fulfilment, our clients’ customers, or the Shipster platform.

Scope of this notice

This notice explains how we process the personal data you provide us with (and any follow-up updates) to arrange deliveries to you personally (e.g., our annual Christmas boxes and similar one-off items).



Personal data we collect

Company, name, address line 1, address line 2, town/city, county/region, postcode, country, and telephone number (optional).



Purposes and lawful bases

Delivery of items (e.g., annual Christmas boxes and similar one-off items): processed under legitimate interests (UK GDPR Art. 6(1)(f)) to send items to our clients/partners and ensure successful delivery.



Recipients (who we share data with)

Delivery service providers (couriers/postal operators or third-party logistics): for the sole purpose of delivery. These organisations act as independent controllers for their delivery operations.


IT and cloud service providers: including Microsoft 365 (Microsoft Forms) for collecting responses and other email/hosting platforms acting as our processors under contract. Providers may change from time to time.



International transfers

If delivery or our providers involve transfers outside the UK/EEA, we use appropriate safeguards (e.g., UK IDTA/EU SCCs with supplementary measures where required). You can request details.



Retention

We retain delivery address details for the duration of our relationship while we continue to send occasional items and the address remains useful. We review records every 24 months (we may ask you to confirm or update your address). If there has been no sending activity or interaction for 24 months, or if you object to this processing, we delete or anonymise your address details within a further 90 days.



Accuracy checks

To meet the accuracy principle, we may contact you every two years to confirm whether your address has changed.



Your rights

You can request access, rectification, erasure, restriction, objection (to processing based on legitimate interests), and data portability (where applicable). To exercise your rights, contact privacy@oddsphere.com.



Requirement to provide data

Providing address details is voluntary, but we cannot send deliveries without sufficient delivery information. Telephone is optional.



Automated decision-making

We do not use automated decision-making or profiling for this processing.



Source of data

We request this data directly from you. 



Security

We apply technical and organisational measures appropriate to the risk, including access controls, encryption in transit, and supplier due diligence.
